Overview
The Supplier Blacklist feature allows your organization to block specific suppliers from participating in your procurement activities. When you blacklist a supplier, they cannot be invited to quote, awarded contracts, or resubmit proposals.
What Happens When You Blacklist a Supplier
Once a supplier is blacklisted:
- They won't appear in search results when you're looking for suppliers to invite to a purchase request.
- They cannot be invited to participate in any new deals or quotes.
- They cannot be awarded in Purchase Requests — the system will prevent you from selecting a blacklisted supplier as a winner.
- They cannot resubmit proposals — if they had an existing quote, the resubmit button will be disabled.
How to Identify Blacklisted Suppliers
Blacklisted suppliers are easy to spot in the system:
- Their company name appears in red
- A ban icon is displayed next to their name
- Hovering over the name shows a "BLACKLISTED" label
How to Blacklist a Supplier
- Navigate to the Supplier Management section
- Find the supplier you want to blacklist
- Open their profile/details page
- Check the Blacklist checkbox
- Save your changes
The blacklist takes effect immediately.
Removing a Supplier from the Blacklist
To restore a supplier's ability to participate in procurement:
- Navigate to the Supplier Management section
- Find the blacklisted supplier
- Open their profile/details page
- Uncheck the Blacklist checkbox
- Save your changes
The supplier can immediately participate in procurement activities again.
Integration with ERP Systems
If your organization uses an ERP system (such as NetSuite) integrated with TenderBoard, the blacklist status can be synchronized automatically:
- When a vendor is marked as inactive in your ERP, they can be automatically blacklisted in TenderBoard
- When a vendor is reactivated in your ERP, the blacklist can be automatically removed
Contact your administrator to configure these synchronization rules.
Important Notes
- Blacklisting is organisation-specific — it only affects your organization's dealings with that supplier
- Blacklisting does not affect existing contracts or orders already in progress
- Only authorized users (typically Buyer Admins) can blacklist or remove suppliers from the blacklist
- Blacklisted suppliers can still log into TenderBoard — they are only blocked from your organization's activities
