Invitation to Tender (ITT) / Invitation to Quote (ITQ) is technically the step after creating a new purchase request.
When creating invitation to tender / quote, you are creating an open invitation to suppliers to respond to your needs for supplies and participate in the bidding.
1. Ensure that you are on page Create a New Purchase

2. Start filling in the form under tab 1. Enter RFQ Details - kindly note that different companies have different form fields (differ as per their requirements)

3. Usually the Reference No. is auto-generated

4. Next to Description field, describe the material / item to buy - e.g. Laptops

5. Industry field usually describes the industry of your company - it allows suppliers to recommend the best products for your industry

6. Set your preferred Opening Date and Time for bidding to take place

7. Select the right date in the calendar option

8. Set the right timing as well

9. Set your preferred Closing Date and Time following the same steps for your Opening Date and Time

10. Set your Expected Award Date aka when the bid will be over and you will award to your desired supplier

11. Set an Expected Budget for your order

12. Proceed to next field - Location

13. Select from the drop-down list - usually it lists your different outlets / offices

14. Fill in the Required fields under Line Items i.e. Description

15. Select the right Category - usually lists the company's Chart of Accounts (COA)

16. Drag the bar to view other fields (mostly required)

17. Type your desired Quantity

18. Select the correct Unit

19. Attach the necessary documents - usually this field is required

20. Go through the form and fill in other fields

21. Ensure you provide the correct details under Contact Information

22. Complete other fields to ensure your form for new purchase is completely furnished

23. Click on Invite Suppliers

24. You should be on a new page Invite Suppliers to Participate

25. Select how you wish to invite suppliers - there are 4 main ways to go about it. You may learn more from this article.

26. Generally under ITT / ITQ, you may Let TenderBoard Do The Work

27. By clicking on Let TenderBoard Do The Work, a window will pop up prompting for the minimum number of quotes you would like to get

28. Type your desired amount

29. Click on SUBMIT

30. The page will be updated as per your new requirements

31. Click on Review Approval Flow
